PERANCANGAN DAN IMPLEMENTASI SISTEM INFORMASI SURAT MENYURAT BERBASIS WEB PADA KANTOR BADAN AMIL ZAKAT NASIONAL (BAZNAS) PROVINSI JAMBI

Abstract

The management of incoming and outgoing letters is an essential administrative activity that supports the smooth operation of an organization. At the BAZNAS (National Amil Zakat Agency) Office of Jambi Province, correspondence activities are still handled manually through agenda books, physical disposition sheets, and paper-based archiving. This manual process causes several issues, including slow disposition, difficulty in retrieving documents, risk of data loss, and low administrative efficiency. To address these problems, this study aims to design and implement a Web-Based Mail Management Information System that integrates the management of incoming letters, outgoing letters, dispositions, and reporting.This research uses the prototype system development model, involving problem identification, literature review, data collection through observation and interviews, system design using DFD and ERD, implementation with PHP Native and MySQL, and system testing using black box testing. The implemented system successfully digitalizes the recording of correspondence, facilitates online dispositions and approvals, provides centralized digital archiving, and generates automatic reports based on selected time periods. The testing results show that the system meets functional requirements and significantly improves efficiency, accuracy, and data security in mail administration at BAZNAS Jambi. The system serves as an effective solution to the limitations of manual correspondence management and can be further developed to support broader organizational needs.
